We dream of running a B&B.
And we’re already thinking about our guests.
We’re Arno and Isabel. Our own B&B in the mountains above Cómpeta? We love the sound of that. We’re still exploring the idea and figuring out how we’d like to make it happen in the future. Cortijo Paz y Calma is our idea for that future. When we travel, we often miss having all the guest information in one handy place. So we made the Guest folder: something we’d like to use for our own guests one day, and already share with other small properties.

Guests record their drinks at the honesty bar. You add lunch, dinner, a massage or yoga session to the correct guest and room. Everything is consolidated into a single bill, showing payments received and a printable invoice.

Arrivals, departures with outstanding balances, breakfast times and dinners with specified allergies.
Appointments that fit
Set up dinner venues, yoga locations and the availability of a therapist. The calendar checks all rooms collectively.
Top-up and checkout
A shopping list based on registered drinks and optional tourist tax in accordance with local regulations.
Confirmed bookings appear right at the top of the ‘Today’ section in the guest app, showing the date, time and location. You can set up a mobile reminder; the guest must allow notifications. Invoices are organised by month, ready to print or email to your accountant.

Less paperwork involved in guest registration.
Guests enter their own registration details. For Spain and Portugal, Guest folder Plus ensures automatic data transfer via your accommodation’s own connection. This means you don’t have to retype the details. All guests enter their details. Once the booking is complete, the guest checks the summary and selects ‘Send’.

Do my guests need to download an app?
No. They open a link in their browser and can add it to their home screen.
Are the access codes always visible?
No. They appear in the personal guest folder within the specified check-in and check-out period. Access codes are not included in the printed guest folder in the room. They disappear from the digital folder after check-out, but do not automatically change on your door or key safe. Change the code yourself when necessary.
I have four rooms. Do I pay four times?
Four rooms within the same B&B count as a single ‘Plus’ stay: up to 6 guest folders, each with its own information, codes and PDF. Independently let flats or holiday homes count as separate stays. The ‘Basic’ plan includes one guest folder per stay.
Can I manage my B&B and a flat together?
Yes. Add the flat via Account → Add property. You’ll have a single account and a single overview for bookings, messages and notifications. Each property has its own guest folder. An additional property costs €9.95* per month (€119.40 per year), paid in a single instalment. Extra Plus includes guest registration for properties in Spain. You choose the package for each property.
How do messages and translation work?
Managers and guests write in their own language. Messages are automatically translated in both directions into the recipient’s selected language. The original message remains available. If translation is temporarily unavailable, you’ll see the original. You can enable notifications on a per-device basis. This feature is included in Basic and Plus.
How does it help with reviews?
For stays of at least two nights, a check-in prompt will appear on the second morning, if you have enabled it. After departure, the instant review button will appear if you have enabled instant reviews and entered a valid link. Every guest will then see the same button, regardless of private feedback. A review email will only be sent with the guest’s consent. There is no reward for leaving a review.
Does the folder work without a signal?
The current version requires an internet connection. Offline use is not yet available. The printed guest information folder in the room is always to hand.
What does Plus add to my day-to-day management?
Plus includes the honesty bar, guest account, additional services, printable invoices, calendar, daily overview, capacity monitoring, shopping list and optional tourist tax. These features are not included in the Basic package.
How does automatic forwarding work?
All guests must complete their registration details via the personal guest link. Only once all guests’ details are complete will the verification summary appear, along with the ‘Submit’ button. Once confirmed, the details are forwarded directly to SES.Hospedajes via the accommodation’s own connection. You can track the submission status in the management section.
Can I print the PDF myself?
Yes. The PDF is included and designed for A5 landscape orientation. You can also print it on A4 landscape.
Can I order a physical hardcover book?
Yes, through Print & boekjes in your account. With Plus, you can order a custom hardcover for each room or cottage, up to a maximum of 6 guest folders. Printing and shipping are billed separately.
Can guests leave tips for future guests?
Yes. The PDF and the hardcover both have pages where guests can write down their favorite spot, something they should try, and a memorable moment. Guests fill these out on paper for those who come after them.
