VerblijfmakersFROM INITIAL IDEA TO A WARM WELCOME

Guest registration with Plus

More time for your guests.
Less hassle with guest registration.

A table covered in stacks of registration forms, folders and a laptop in a small accommodation.

Your guests are on their way. You want to prepare the room, take care of the finishing touches and welcome them without rushing. It helps to have their registration sorted beforehand.

That leaves you more time for a warm welcome.

FROM GUEST LINK TO OVERVIEW

The guest fills in the details. You keep track of everything.

  1. You create the booking

Enter the main booker, stay dates and number of guests. Then share the guest link via WhatsApp or email.

  2. Guests enter their details

They use the link to enter the requested details for each guest.

  3. The guest checks and confirms

Once all required guest details are complete, a review screen appears. The guest checks the details and selects Send.

  4. You can see who has completed their details

Once all guests have entered their registration details, a notice appears with the booking in your dashboard. Before arrival, just check Bookings to see whether everyone is ready.

THE RULES VARY FROM COUNTRY TO COUNTRY

One approach for you.
The right process for each property.

Registration, reporting and storage are separate steps. Below you can see what Guest folder takes care of for you.

Automatic forwarding

Spain

You can link your own SES.Hospedajes account for your property in the dashboard. Once checked and confirmed, the registration details will be automatically forwarded to SES.Hospedajes.

You can find the registration and submission status in the booking details. You are responsible for following up on any rejections or missing information.

Automatic forwarding

Portugal

Arrivals and departures of foreign guests are submitted automatically through your own SIBA connection. You can track the status with the booking in your dashboard.

Which guests does this apply to?

The reporting requirement applies to guests without Portuguese nationality, including children. Both arrival and departure must be reported within three working days.

Guests with Portuguese nationality do not need to be reported through SIBA. Their booking and personal guest guide remain part of your dashboard.

A Portuguese guest living in the Netherlands is not subject to this SIBA reporting requirement. A Dutch guest living in Portugal is subject to it during a temporary stay. For mixed groups, assess each person individually.

No reporting does not mean no administration.

Other details may be needed for bookings, invoicing, tourist tax or statistics. Only collect what is necessary for the stay and the applicable obligations.

Read SIBA’s official guidance
How do you connect SIBA?

You use your property’s own SIBA connection. The owner asks SIBA to activate the Web Service submission method and adds the connection details in the dashboard.

Before use, check that the connection is active and resolve any error messages.

Confirmations and storage

After a successful production submission, the direct SIBA response determines the “Accepted by SIBA” status. Arrival and departure each have their own status with date, time and submission number. No file upload is required.

Your official evidence stays with your accommodation.

SIBA sends the confirmation email to the address registered for the accommodation. You manage the official evidence in your mailbox or through “Consulta de Ofícios Emitidos” in the SIBA portal. You do not need to connect a mailbox to Verblijfmakers or forward messages.

Adding a copy is optional.

Want to keep everything with the booking? You can add the official PDF or original confirmation email yourself, including later. This upload does not change the technical acceptance status. If an error occurs or the outcome is uncertain, follow up with SIBA.

No general legal retention period for your own Portuguese evidence has been confirmed. We therefore do not prescribe a fixed period. For an optional upload, you record a retention period you have checked yourself.

Under development

Italy

The integration with Alloggiati Web is currently under development. Automatic data transfer from Guest folder is not yet available for Italy.

Collecting or storing data does not replace the obligation to report. Until the link is available, please submit your report via the existing channel for your property.

Registration and storage

Other countries

Guests enter their registration details through the guest guide. You can find the completed details with the booking in your dashboard.

EVERYTHING IN ONE PLACE

Your registrations with the right booking.

Open a booking in your dashboard to view the completed guest details.

Was the report successful? Check the booking.

For Spain and Portugal, the booking shows whether the government service has accepted the report.

Is there an error message? Open it to see what needs to be corrected.

Keeping guest details and confirmations

Completed guest details are stored with the booking in your dashboard. An official confirmation or a signed original may also need to be kept separately. The country guidance explains what is stored automatically and what you keep yourself.

You use your accommodation’s own connection to the government service. Identity checks, required signatures, accurate data and timely follow-up remain the responsibility of the accommodation.

PRACTICAL QUESTIONS

Good to know.

Do I still need to type out the registration details separately?

For Spain and Portugal, the data is automatically forwarded via your own connection once it has been checked and confirmed. Please check in the dashboard whether the notification has been accepted and whether any further details need to be provided.

Is data sent automatically as soon as someone starts?

No. First, the required details for all guests must be complete. Then the summary for checking appears, and the guest confirms by clicking ‘Send’.

Is there only a data retention obligation in all other countries?

No. National and local regulations may also require registration, a signature or a declaration. France, for example, requires a signed registration form for foreign guests, which is kept for six months and provided to the police or gendarmerie upon request.

Official explanation for France
Is guest registration part of Basis or Plus?
